Use formatting to improve readability 

In the Teams compose box, select Format to open the rich text editor. You can use headings, bold, italics, underline, highlight, font color, and bulleted or numbered lists to make longer messages easier to scan. Short paragraphs and lists are often easier to read than one long block of text. supports these message formatting options directly in chat.  

Why take the time to format your Teams messages?

Using formatting in Teams helps make messages clearer, easier to navigate, and more efficient for everyone. Well-structured messages allow readers to scan information, locate key details faster, and understand the purpose of links without having to read the surrounding text context. 

  • Use the title on the destination page for the hyperlink text.
  • Avoid using generic link text like "Click here" or "Learn more". 
  • Make sure the link is clear, descriptive, purposeful, and meaningful.

  • Choose text that is specific, meaningful, and easy to understand. 
  1. Select Format below the message box to open the full editing options.
  2. Select the hyperlink icon. If you do not see it, select More options (the three dots) to find it.
  3. Enter descriptive link text, then paste the URL into the address field and select Insert.
  4. After you add the link text and address, select Send.
  5. Your hyperlink will now give readers a clear idea of where the link goes.
